  1. Staff Gender

    It would be lovely to have an option for a Staff person's gender that could be left as "select' or something to default. It currently defaults to "Female" and only allows for the 2 options, Male/Female. If there is an option to be left blank, then the "Gender Identity" field can be used instead of putting in a gender.

  2. Ability to Repopulate Mass Group Note Template

    When you create a group note it initially populates with all clients in the group for ease of completion. Therapists often initiate a note and partially complete the group notes with the need/desire to return to the note later, however, once the note is saved, it separates into individual client notes with no way to repopulate as a mass template for the therapist to work from. It would be extremely helpful to have a way to return to the mass group note template.

  3. episodes of care

    Use of ‘episodes’ allow the user to see a client record for a specific episode of care, or time period during which the client received services, as opposed to the entire clinical record. When a client is discharged from all programs/services, that episode essentially closes. If the client returns, a new episode is created. The client still only has one client number/client file, but all of the clinical documents and client record details are captured for and stored within the respective episode.   4. Open a new ticket.

    Is there a way you could improve the ticket section? Maybe adding a submit button instead of the save button as it's confusing whether or not our messages are sent. And the fact that your system displays an "unsaved" message makes it even more confusing.

    Having a button to go back to the menu would also be a good idea so users can return to the other screen(s) easily.

  5. video reminder in SMS messaging

    It would be great for the SMS text reminders to patients to differentiate whether the appointment is scheduled as in person or telehealth appointment, as this is the preferred method of communication with most patients for reminder messages.

  7. Faxes Module - Print Sent Faxes with Cover Sheet

    We sometimes need a print/pdf version of our Sent Faxes (including details we typed in the cover sheet) for support/documentation of records releases or for reviewing/appealing billing issues. Since we are able to print Received faxes, could that be replicated for Sent Faxes?

  9. The new Universal Service Standards require we document supervision.

    In the Client module, Notes Tab, enter the following:

    Type:
    Clinical Supervision
    Every 2 months, the licensed mental health professional completes case review of client when the client is receiving clinical services from a mental health practitioner or clinical trainee. Case review includes: (1) client's reason for seeking treatment, diagnoses and assessments, and treatment plan; (2) appropriateness, duration, and outcome of treatment; and (3) treatment recommendations.
    It'd be great if there was a check box/dropdown of both the supervor and supervisee to avoid data entry.

  10. Organizing clinical documents

    Organize clinical charting documents according to use. Not just alphabetically. Have the option to change the list of documents available to us according to how we use them in our own agency. Move items to top or bottom. Put new intake paperwork all together, move less used documents to the bottom or behind the scene for future use but not daily use, etc.

  11. Hello, Is there anyway to not make clients chart/notes go inactive when the client is marked as inactive? If not I'd like to suggest that.

    Is there anyway to not make clients chart/notes go inactive when the client is marked as inactive?

    If not I'd like to suggest that. It would be helpful for when I'm looking for notes, sending records, checking to see if they have been in before, etc. Because currently I'm having to go into clinical/charting and open each note and make it active and that's very time consuming especially with bigger charts. Or even having a button that you can click that would make all their notes active again would be helpful

  14. Add Start and End Dates to Billing Supervision

    If there could be a date to and from field so that the system would be able to decipher if the date of service is in that time frame then it would know whether or not to pull the supervisor. This would need to be in the payers>rate>staff, this would need to be updated as the provider becomes credentialed and any outstanding claims that need to be resubmitted or processed would go out with the correct supervisor or vice versa based on the date range. Currently there is too much manual processing happening where the supervisor needs to be added…

  15. Client Module Search by Client ID with first and last names

    In the Client Module, search works with an ID number and a first OR last name, but not all three. Using all three provides no search results. Consider changing the search field to allow this with complete results listed.

  16. Clients module search allow commas

    In the Clients Module, if I copy and paste a client's name with a comma in it (e.g. 'last, first'), no result is returned. Since Procentive reports regularly display with this format, it would be helpful to use the data as-is when searching for the client.

  17. Increase Text Reminder Character Limit

    We are requesting a text message character limit increase. Right now depending on length of client and staff name we are maxing out with as minimum characters as possible for text message reminders. Looking to have this increased to allow a more detailed message for their reminders so there isn't confusion.

  18. Allow adding internal units for billing codes to weight for different reimbursement rates (not to travel on billing)

    Please consider adding a space to assign units (15 min increments) to codes that do NOT travel on billing/invoices. We need this feature added so we can weight clinician compensation in accordance to the codes they bill. Some codes pay out higher per unit than others, and we want a way to compensate the clinicians for the increased revenue brought in.

    Example:
    Code 1: bill 1 unit only but is paid out at $250.00 (we want to give clinician credit for 4 units due to the higher reimbursement and non billable time spent on the code).

  19. Group Note Enhancement

    When adding a group note through clinical charting or in general, the client roster does not alphabetize to the clients, however adds them on how they are added to the group when getting to the group notes. When adding client's from the roster they are alphabetized but when going to add the note they are then unalphabetized and put in the order they are added to the group roster.

  20. Activing and Inactivating Staff

    It would be nice if the general admin/administrator positions or identified person to only be able to activate or inactivate staff so the process of user administrator can be streamlined to ensure privacy. Curently when you remove permisisons to inactivate/activate in the system, it removes access to inactivate/activate ALL areas of procentive, not specific to a module.
